An Etsy order packing routine for a one-person shop

Packing often lands at the end of a long studio day. Your pieces are ready, your messages are answered, and the boxes still need filling. A simple routine keeps the order list, the pieces and your checks together. Start with a fixed batch. Keep one box open. Check the exact variant and quantity before sealing.

Quick answer: fix your list and gather by variant. Pack one box at a time. Check every piece against the order, then reconcile shelf stock without deducting the same sale twice.

The routine, step by step

  1. Pick a cut-off and fix your packing list

Choose a cut-off, such as 18:00, while leaving enough time to meet each order’s dispatch date. Select the open orders you will pack, then work from that fixed list. Etsy’s order CSV is a transaction download, not a ready-made list of tonight’s open orders. If you use it, remove already completed orders and select only those you intend to pack. Keep later arrivals separate rather than adding them halfway through a box.

  2. Gather by variant, not by order

Walk your list and gather the pieces, grouped by variant. Keep sage mugs, sand mugs and A5 prints in separate groups. Count each group against the quantities on your list before opening a box. This can reduce shelf trips and reveal a shortage before packing starts. Give near-identical variants a clear gap, or use separate labelled trays. For a small table or fragile pieces, gather a smaller batch instead.

  3. Keep only one box open

Gathering can be batched; packing stays with one order. Open one box and keep its order list beside it. Leave every other order’s pieces in their separate groups. Check, seal, attach the matching address label, and set the box aside before starting the next. Compare the order number on the label with the list, not just the buyer’s name.

  4. Check with the item in your hand

Hold the item and read the order line: product, variant and quantity. Compare shape and colour with the variant photo if you have one. Check every piece when a line asks for more than 1. Tick the line only after the full quantity is in the box. A tick from memory does not confirm what went inside. If you lose your place, compare the contents with the list again before sealing.

  5. Reconcile shelf stock once

Keep the count of pieces physically on your shelf separate from the quantity still available to sell. Etsy adjusts listing quantities at sale; do not subtract the same sale again from that count when packing. If your separate shelf sheet still includes sold pieces awaiting packing, subtract them when they leave the shelf. If your sheet already deducted them at sale, record packing without another deduction. Use one rule consistently, and correct shortages before offering more pieces for sale.

  6. Check what remains on the table

At the end, compare the sealed boxes with the orders on your fixed list. Account for every remaining piece before clearing the table. It may be an extra you gathered, a delayed order, or a missing item from a box. Check the relevant box rather than assuming the spare piece belongs back on the shelf. Keep any unfinished order open and clearly separate from packed boxes.

Etsy explains how to download order and order-item CSVs under Shop Manager → Settings → Options → Download Data. Choose your CSV type, month and year, then select the orders you actually need to pack.

When it is 11pm and you are rushing

The routine is for the tired nights more than the good ones. Nothing here is a step number — it is what to keep when the time is gone:

  • Shrink the batch, not the check. Pack fewer orders together, while keeping each order’s promised dispatch date in view. If a delay is unavoidable, message the buyer rather than silently moving the order to tomorrow.
  • Keep step 4 even when you shorten the rest. Checking the pieces before sealing gives you a chance to correct a mismatch at the table.
  • Try reading the variant out loud if similar names blur together. Say “sage glaze, 2 mugs” and compare it with the pieces in your hand.
  • Consider packing near-identical orders first, while your attention is fresh. Keep their variant groups apart throughout.
  • If you are interrupted, leave the box open. Check its contents again before sealing, even if some lines are already ticked.

The routine on one card

You can also use the pack card in our free packing guide. This routine fits on six lines you can tape above the table. Keep the same steps in view on tired nights.

Packing routine · six linesone card, taped up
  1. Cut-off passed — list pulled once
  2. Gathered by variant, groups apart on the table
  3. One box open
  4. Item in hand matches the order line (and photo)
  5. Full quantity checked and boxed; shelf count reconciled once
  6. Table empty before the light goes off

Doing it on paper vs in an app

On paper it works: printed order list, a pen, a stock sheet updated per order. It depends on you keeping the habit every night, and on your eye separating near-identical variants from a text-only list.

Intra Box brings this routine into a photo pack list. Sign in, upload your products, and add any missing variant photos. Then upload your selected orders and check every item as you pack. “Mark packed” deducts the order’s quantities from your Intra Box shelf stock. Start with physical shelf counts that still include those orders’ pieces. It does not change your Etsy listing quantities. The first 20 packed orders are free, with no card.

Steps 2 and 4 lean on knowing exactly what each variant looks like — that starts on the listing itself. We have a guide to adding a photo per variant on Etsy.

Questions makers ask

Should I batch-pack Etsy orders or pack one at a time?
Gather in small batches by variant if your table allows it. Pack one order at a time, with only its box open. Separate gathering from checking so similar pieces do not cross between boxes.
How often should I update my stock count?
Record each order once, at the stage your stock sheet uses: sale or packing. Do not deduct at both stages. Reconcile physical shelf counts when you discover a shortage or add new pieces.
What if an order is missing an item I thought I had?
Leave the box open and correct your shelf count. Message the buyer promptly if you cannot complete their order on time. Agree the next step rather than substituting a different variant without asking.
